From the office to the property and back
- Schedule the inspection against the property and its tenancy.
- Record that the tenant has been told, and when they confirm.
- Download it to the phone before you leave. Each step is saved on the phone and synced when the connection returns.
- Go room by room: condition, notes and photos for each item.
- Collect signatures, then publish a PDF report, versioned, with a link to share that expires.
What the law asks of an inspection
A landlord can inspect a rental at most once every four weeks, between 8am and 7pm, with at least 48 hours’ notice — and the notice should not be given more than 14 days ahead (tenancy.govt.nz). Photos are a good record if anything is disputed later, but take care to leave the tenant’s belongings out of them where you can.
Propex keeps the date the tenant was told and the date of the inspection on the record, so the next one is never booked too soon by accident.
Reports people can actually read
The report is laid out room by room, with the photos beside the items they show. A published report keeps its version; a correction makes a new one rather than changing what the owner already has. The PDF says it is a privacy-safe inspection report, and the shared link stops working when it expires.
