1. Book it
In Inspections, schedule a routine inspection for the property. It belongs to the property and its current tenancy, so the tenant’s details are already there.
2. Tell the tenant
Give at least 48 hours’ notice, and not more than 14 days. Record that the tenant has been told; the inspection moves from scheduled to tenant notified, and to confirmed when they confirm.
3. Do it on the phone
Download the inspection to the Propex mobile app before you leave. Go room by room: the condition of each item, a note, a photo. Each step is saved on the phone, so a basement or a rural road with no signal does not lose anything; it syncs when you are back in coverage. Collect signatures when you are done.
4. Publish the report
When it is complete, publish the report. It becomes a PDF, version 1, laid out room by room with the photos beside the items they show. Send it to the owner, or share a link that expires. A correction later makes version 2; the owner’s copy of version 1 stays as it was.
5. Act on what you found
Raise a maintenance request on the same property for anything that needs fixing; the report has the photos to go with it. The next routine inspection can be no sooner than four weeks away.
